Backend consulting that helped a global technology company put its asset management system on firmer ground.
The client is a global technology company with a very large estate of assets to account for across teams and locations. A backend behind that kind of system has to answer plain questions reliably: what do we own, who holds it, what state is it in, and what changed. The client wanted experienced outside eyes on the backend, so its own engineers could make decisions about structure and growth with more confidence.
Hexagon provided consulting on the backend of the client's asset management system. We looked at how asset records, lifecycle states and ownership were modeled, how other systems exchanged data with it, and where heavy queries could slow people down. We gave the client's engineers specific recommendations, ordered by importance. The client's team kept ownership of the system and the decisions, with our advice to work from.
When an asset register gets big, small backend decisions turn into daily problems for the people relying on it.
An asset register loses value quickly when a device or license changes hands and the record does not. Auditors and support staff then stop trusting what the system tells them.
We reviewed how assignments and status changes were recorded, and advised on structures that make each change explicit and keep the current holder clear.
Assets move from procurement to deployment, repair, retirement and disposal. When those rules are scattered around the code, a new status or exception becomes slow and risky to add.
We advised on defining lifecycle states and allowed transitions in one place, so a policy change means fewer edits and easier testing.
Procurement, finance, IT service and identity tools often all read or write asset data. Each new connection built differently adds another way for records to fall out of step.
We reviewed the integration points and recommended clearer API contracts, including which system should be treated as the source of truth for each field.
Reports and searches that felt fine with a smaller register can crawl as records and history pile up. Staff then export to spreadsheets, and the data starts splitting again.
We looked at the heavy queries and data access patterns, then recommended indexing, history handling and reporting approaches suited to the volumes involved.
| Feature | Description |
|---|---|
| Asset and IT operations teams | |
| 1. Asset Data Model Review | We examined how assets, locations, owners and related records were structured, so the register can represent what the business actually holds. |
| 2. Lifecycle State Guidance | We advised on clear states from procurement through disposal, which helps staff and reports use the same meaning for each status. |
| 3. Ownership and Assignment Records | We recommended how to record who holds an asset and since when, so a question about custody has one answer. |
| 4. Audit History Design | We advised on keeping a dependable record of who changed what and when, which matters during internal and external asset audits. |
| Client engineering team | |
| 5. API Design Guidance | We suggested consistent patterns for how other systems read and update asset data, making new integrations easier to build and support. |
| 6. Integration Mapping | We set out which connected system should own which data, reducing conflicts when two tools update the same field. |
| 7. Query and Performance Review | We looked at slow data access paths and proposed fixes, so large searches and reports stay usable. |
| 8. Access Control Review | We reviewed how permissions applied to asset data, so people see and change only what their role requires. |
| 9. Prioritized Recommendations | We ordered our findings by importance, so engineers knew what to tackle first and what could wait. |
Each layer has one job.
The client's engineers came away with an outside view of their backend and a prioritized set of recommendations. They could plan their next changes with the trade-offs laid out.
| Area | Before | After |
|---|---|---|
| Asset data structure | Questions about structure handled inside the team | Outside review with specific structural recommendations |
| Lifecycle rules | Status logic open to differing interpretations | Guidance on defined states and allowed transitions |
| Integrations | Connections assessed one at a time | A view of data ownership across connected systems |
| Next steps | Competing backend priorities | A list of recommendations ordered by importance |
Good software follows a process. Here are the six stages, and what happens in each one.
Goal: Define the product vision, target audience and core business requirements.
Key activitiesGoal: Create an intuitive user experience and visual interface.
Key activitiesGoal: Build the functional application using agile sprints.
Key activitiesGoal: Harden the application against vulnerabilities and boost performance.
Key activitiesGoal: Deploy to a controlled group of real users to catch edge-case bugs and gather feedback.
Key activitiesGoal: Roll the software out to the general public.
Key activitiesEngineers could test their thinking against people outside the day-to-day work.
Connected systems have a stated answer to who owns each field.
Guidance on change history supports the questions asset auditors tend to ask.
Limited engineering time can go to the highest-value backend fixes first.
An asset management backend rarely fails all at once. It gets harder to trust as records, integrations and exceptions build up. Hexagon gave the client an independent read on its backend, along with concrete advice its own engineers could act on. Consulting like this works well when you have a capable team and want an outside view before committing to a major change. If your asset register is becoming harder to rely on or extend, tell us what you are seeing. We would be glad to talk it through.
