A web application that lets taxpayers look up tax records online and gives county staff one place to manage them.
County tax offices answer the same questions all year, and the volume climbs as each deadline nears. Residents want to know what they owe, whether a payment posted and which parcel a bill covers. Staff need accurate records they can find while someone waits at the counter or on the phone. The client, a county government, needed a web application that handled tax information more efficiently for both residents and staff.
Hexagon delivered a web application for a county government's tax work. Residents and property owners can look up a parcel, see what has been billed and check its status without visiting an office. County staff work from secured screens to find accounts, review records and answer questions. Because public access and staff access are separate, residents see what they should, and internal functions stay limited to authorized employees.
Tax records are public business, and they have to be right every time someone looks.
Phones and counters get crowded as a tax due date approaches. Most callers only want to confirm an amount or a status, and each question takes staff away from other work.
We put tax record lookup online, so residents can answer routine questions themselves at any hour, on or off deadline.
Taxpayers don't always have a parcel number to hand, and owners' names change or get recorded differently. A slow search keeps a waiting resident at the counter for longer.
We built search by parcel number, owner name and property address, so staff and residents can reach the same record different ways.
A county must share tax information publicly while protecting internal functions. Mixing the two risks unauthorized changes to official records, which is a serious problem for any government office.
We kept the public lookup read-only and placed all editing behind a staff sign-in, with permissions set according to each employee's role.
Corrections and status changes happen, and a county has to explain them when a taxpayer or an auditor asks. Changes without a clear trail are hard to defend afterward.
We recorded changes to tax records by user and date, so staff can see what changed when a question comes up later.
| Feature | Description |
|---|---|
| Residents and property owners | |
| 1. Parcel Search | Anyone can search by parcel number, owner name or address to find a tax record. |
| 2. Tax Record View | A record shows the property, tax year and billed amount, in language a homeowner can follow. |
| 3. Payment Status | Owners can see whether a bill is shown as paid or outstanding, which answers the most common phone question. |
| 4. Prior Year Records | Past tax years can be viewed, which helps when an owner needs them for a sale or for personal records. |
| 5. Printable Summary | Owners can print a record for their files or to give to a lender or title company. |
| 6. Due Date Information | Key dates appear alongside tax information, so owners don't have to phone the office to ask. |
| County tax staff | |
| 7. Account Lookup | Staff find accounts quickly while a resident waits, using the same search fields as the public plus internal details. |
| 8. Record Maintenance | Authorized staff can correct owner, address and account information through controlled screens. |
| 9. Status Updates | Staff record changes to an account's status, and the public view reflects them. |

| 11. Delinquent Account Lists | Staff can pull a list of unpaid accounts when it is time to follow up. |
| Administrators and auditors | |
| 12. Role-Based Access | Each employee's permissions match their duties, which limits who can change official records. |
| 13. Change History | Edits are logged by user and date, which gives the office an answer when a change is questioned. |
| 14. Collection Reports | Managers can review billed and outstanding amounts by tax year. |
| 15. Data Exports | Staff can extract records for internal use and for other county offices that need them. |

Key activitiesResidents can check common questions without staff help.
Staff reach the right account through several search paths.
Only authorized employees can change official information.
A change history shows staff what happened to an account.
A county tax office has little room for error and long lines at the worst times of year. Hexagon built the client a web application that gives the public a direct view of tax information and gives staff controlled tools for the records behind it. Residents get answers sooner, and the office has a clearer account of its own work. If your county or municipal office is still handling tax questions mostly by phone and counter visits, we would welcome a conversation.
