Continuing Education Accreditation Platform

A platform that gives a professional association one place to approve courses, award credit hours and prove what members completed.

Business goals

The client is a professional association whose members must keep up continuing education to stay licensed. Members needed a clear way to find courses and show the hours they had earned. The association's small staff needed a way to manage courses, approve credit and answer verification questions, without chasing paper sign-in sheets or re-entering records from one list into another each time a course ended.

Project overview

Hexagon built the continuing education accreditation platform for this professional association. Staff can set up courses, assign approved credit hours and record attendance or online completion. Members get a personal record of their CE hours and can download certificates. A staff console handles corrections and reporting, which gives the association a single record of who took what, when and for how much credit.

Challenges faced and solved

For a licensed professional, a missing CE record becomes a problem at the worst moment: renewal time.

The challenge

Credit records in too many places

Course rosters, sign-in sheets and emailed certificates rarely agree. When a member asks how many hours they have earned, staff end up piecing together an answer from several sources.

Our solution

We centralized CE activity into one record per member, with each entry tied to a course, a date and an approved credit value.

The challenge

Renewal deadlines catch members out

Licensing cycles come with hour requirements, and many members only check their standing near the deadline. Finding out late about missing hours leaves them few options.

Our solution

We gave members a personal CE record they can check anytime, showing completed courses and credit hours earned to date.

The challenge

Not every course earns the same credit

Live lectures, hands-on sessions and online courses can carry different hours and categories. Applying those rules by hand invites mistakes that a licensing board might later question.

Our solution

We made credit type and hours part of each course setup, so awards follow the course definition instead of a staff member's memory.

The challenge

Small staff, big workload

Association teams are often lean, and CE sits alongside events, advocacy and member services. Issuing certificates one at a time eats days that nobody really has.

Our solution

We automated certificate creation on course completion and added a console where staff can search, correct records and export reports when needed.

How we took it from idea to launch

Good software follows a process. Here are the six stages, and what happens in each one.

Stage 1

Discovery & Requirements

Goal: Define the product vision, target audience and core business requirements.

Key activities
  • Stakeholder interviews
  • Market and competitor research
  • Defining user personas
  • Drafting technical specifications or a Product Requirements Document (PRD)
Stage 2

Design (UX / UI)

Goal: Create an intuitive user experience and visual interface.

Key activities
  • UX design: information architecture, user flows and wireframes
  • UI design: high-fidelity mockups and interactive prototypes in Figma or similar tools
  • Design system: colors, typography and component libraries
Stage 3

Development: Frontend & Backend

Goal: Build the functional application using agile sprints.

Key activities
  • Backend: set up databases, design APIs (REST, GraphQL), implement server logic, and configure authentication and authorization (OAuth, RBAC)
  • Frontend: build responsive interfaces and connect components to backend APIs
  • Version control: manage code through Git and GitHub
Stage 4

Security & Optimization

Goal: Harden the application against vulnerabilities and boost performance.

Key activities
  • Security: address the OWASP Top 10, including injection, XSS and CSRF, enforce encryption in transit and at rest, and implement rate limiting
  • Optimization: code splitting and lazy loading, database indexing, API caching and load testing
  • QA and testing: unit, integration and end-to-end tests
Stage 5

Beta Release

Goal: Deploy to a controlled group of real users to catch edge-case bugs and gather feedback.

Key activities
  • Set up staging and production CI/CD pipelines
  • Launch a closed or open beta with real users
  • Monitor errors through observability tools
Stage 6

Public Release (Launch)

Goal: Roll the software out to the general public.

Key activities
  • Final production deployment
  • DNS configuration
  • Marketing and onboarding rollout
  • Post-launch performance and security monitoring

Business benefits

Less admin for staff

Automated certificates and central records free time for other member services.

Confident renewals

Members can see their hours well before a deadline.

Records that stand up

Credit rules and a change history make it easier to answer outside questions.

A stronger member benefit

Easy access to CE records gives members another reason to belong.

Conclusion

Continuing education matters to a professional association because it matters to every licensed member's career. The difficulty lies in the record keeping: courses, hours, categories, certificates and questions that arrive years later. Hexagon built this platform so that one small staff could manage all of it from a single place, and members could look after their own records. If your association is still reconciling sign-in sheets by hand, we would be happy to talk about what a better setup looks like.
