Business goals

Our clients include a roofing contractor, an asphalt paving company, a home builder, and masonry, excavation and truss businesses. Their work differs, but the trouble is familiar. Bid requests arrive by phone and email, jobs depend on what the previous trade finished, and the office learns about field problems late. They needed software to win work, schedule crews, track progress and see what each job was really costing.

Project overview

Hexagon delivered a CRM and ERP that multiple construction clients use to run their work. Estimate requests and customers are managed in the CRM. Once a job is won, it moves into work management with its scope, crew, milestones and tasks. Field staff report progress from the site, and managers follow status and cost per job. Workflows are configured to suit each trade, so a paving job isn't forced through a home builder's steps.

Challenges faced and solved

Construction work runs in sequence, and a missed handoff in one step throws off everything behind it.

The challenge

Keeping track of bids in play

A contractor may have dozens of estimates out to property owners, facility managers and general contractors. Without a shared list, follow-up depends on one estimator's memory and winnable work goes quiet.

Our solution

We put every request and estimate into a CRM pipeline with an owner and a next step, so nothing depends on one person's inbox.

The challenge

Knowing where each job stands

Superintendents carry the real status in their heads and in text threads. The office answers a customer's question by phoning the field, and sometimes the answer has already changed by evening.

Our solution

We gave field staff a simple way to update milestones and tasks from the site, so the office sees status without making a call.

The challenge

Sequencing crews and trades

Grading must finish before paving. Framing waits on trusses, and roofing waits on framing. One late step leaves a crew and its equipment standing idle, and that time is rarely recovered.

Our solution

We built task dependencies and crew assignments into work management, so schedulers can see what a delay upstream means for the next job.

The challenge

Fitting different kinds of contractor

A commercial roof replacement and a production home do not follow the same steps. Software built around one trade forces everybody else into workarounds and duplicate spreadsheets kept on the side.

Our solution

We made workflow stages configurable for each client, so a job is tracked in the same terms and the same order that the crews in that trade already use.

Features

FeatureDescription
Estimators and sales
1. Estimate Request IntakeRequests from the phone, email and website go into one list, tagged by job type and source.
2. Customer and Contact RecordsProperty owners, facility managers, general contractors and home buyers each have a record with their job history.
3. Bid PipelineEvery estimate moves through stages from requested to won or lost, giving owners a view of the work that may be coming.
4. Follow-Up TasksEstimators get reminders on bids awaiting a decision, which keeps a good price from being forgotten by the customer.
5. Job Site DetailsSite address, photos, measurements and notes stay with the opportunity, ready for whoever walks the job next.
6. Won Job HandoffA won bid becomes a job without retyping, carrying its scope and customer details to the operations team.
Project managers and schedulers
7. Configurable WorkflowsEach client sets the stages for its own work, from grading and base through paving and striping, or from foundation to final walkthrough.
8. Job Progress TrackingMilestones show what is finished, under way or late on each job, so problems surface before the customer calls.
9. Task DependenciesTasks can wait on the step before them, which shows how one delay moves the rest of the sequence.
10. Crew SchedulingManagers assign crews to jobs and days, and can spot a double booking before anyone drives to the wrong site.
11. Equipment AssignmentMachines are assigned alongside the crew, a real need for excavation and paving companies with heavy iron spread across jobs.
12. Subcontractor CoordinationOutside trades are recorded against the tasks they own, so a builder knows who to call when a step slips.
Field crews and superintendents
13. Daily Job UpdatesForemen report completed work and problems from a phone at the end of the shift, without a trip to the office.
14. Job Photos and NotesPictures of finished work or hidden damage are attached to the job, helping settle later questions about what was found.
15. Punch ListsItems left to correct are listed and checked off, so a builder's closeout doesn't rest on memory.
Owners and the back office
16. Job CostingLabor, materials and subcontract costs are compared to the estimate for each job, showing margin while there is still time to act.
17. Purchasing and MaterialsPurchase orders and material needs are tied to the job, so shingles, block or asphalt are ordered against the right budget.
18. Change OrdersAdded work is recorded and priced against the job before it is forgotten, protecting revenue that often leaks away.
19. Invoicing SupportBilling milestones are visible from job progress, so office staff know when a progress bill can go out.
20. Company DashboardOwners see open bids, active jobs, late milestones and job margins together for a quick read on the business.

How the platform is put together

Each layer has one job.

The result

Our construction clients can follow a job from first estimate request through closeout in the same system. Progress and cost information no longer has to be collected by phone from the field.

How we took it from idea to launch

Good software follows a process. Here are the six stages, and what happens in each one.

Stage 1

Discovery & Requirements

Goal: Define the product vision, target audience and core business requirements.

Key activities
  • Stakeholder interviews
  • Market and competitor research
  • Defining user personas
  • Drafting technical specifications or a Product Requirements Document (PRD)
Stage 2

Design (UX / UI)

Goal: Create an intuitive user experience and visual interface.

Key activities
  • UX design: information architecture, user flows and wireframes
  • UI design: high-fidelity mockups and interactive prototypes in Figma or similar tools
  • Design system: colors, typography and component libraries
Stage 3

Development: Frontend & Backend

Goal: Build the functional application using agile sprints.

Key activities
  • Backend: set up databases, design APIs (REST, GraphQL), implement server logic, and configure authentication and authorization (OAuth, RBAC)
  • Frontend: build responsive interfaces and connect components to backend APIs
  • Version control: manage code through Git and GitHub
Stage 4

Security & Optimization

Goal: Harden the application against vulnerabilities and boost performance.

Key activities
  • Security: address the OWASP Top 10, including injection, XSS and CSRF, enforce encryption in transit and at rest, and implement rate limiting
  • Optimization: code splitting and lazy loading, database indexing, API caching and load testing
  • QA and testing: unit, integration and end-to-end tests
Stage 5

Beta Release

Goal: Deploy to a controlled group of real users to catch edge-case bugs and gather feedback.

Key activities
  • Set up staging and production CI/CD pipelines
  • Launch a closed or open beta with real users
  • Monitor errors through observability tools
Stage 6

Public Release (Launch)

Goal: Roll the software out to the general public.

Key activities
  • Final production deployment
  • DNS configuration
  • Marketing and onboarding rollout
  • Post-launch performance and security monitoring

Business benefits

Fewer forgotten bids

Every open estimate has someone assigned to pursue it.

Less idle crew time

Schedulers see sequence problems before crews arrive at a site that isn't ready.

Clearer margins

Owners can compare cost against estimate job by job.

A system that fits the trade

Workflows follow the way each business actually builds.

Conclusion

Roofers, pavers, excavators, masons and home builders all live with the same pressure: thin margins, tight sequences and information that stays in the field. Hexagon built this CRM and ERP so that a bid, a crew schedule and a job's cost could sit in one connected place, while the workflow still matched each trade. If your company is juggling estimates in email and job status in text threads, bring us an actual job from start to finish. We can map it together and talk about what to build.

FAQs

Can the system follow the way our trade works?Yes. Workflow stages are configured per client, so a roofing company and a home builder each track their own steps.
Can foremen update jobs from the site?Yes. Field staff can report progress and add photos and notes from a phone.
Does it handle both sales and operations?Yes. Bids and customers are managed in the CRM, and won work moves into scheduling, tasks and job cost.
Is this only for large builders? No. The clients include specialty trade companies as well as builders, and scope can be matched to your size.
