Online order forms that capture every door and building product detail correctly the first time.
The client supplies doors and building products to trade customers. A single order can involve size, handing, material, finish and delivery details, and one missing value can mean the wrong product or a long round of phone calls. It needed online forms that collect the full specification up front, in a consistent layout, so that orders reach staff ready to review rather than arriving as incomplete notes.
Hexagon developed the client's order forms. The forms guide a customer through product specifications, quantities, account contact and delivery information, and check that required values are filled in before submission. Finished orders are routed to staff, and the customer receives confirmation. The project stayed focused on form development, so the client gained a better way to take orders without replacing any of its other business systems.
In building supply, an order with one wrong dimension can turn into a return, a remake or a delayed job.
Customers phoning or emailing an order often forget a jamb size or swing direction. Staff then chase the missing detail while the order sits and the contractor waits on the job.
We made the key specification fields required, so a form cannot be submitted until the details staff need have been entered.
A door order can involve dozens of combinations. Show every field all the time and customers get lost, or fill in options that don't apply to the product they want.
We made fields respond to earlier answers, so a customer sees only the options relevant to the product being ordered.
Faxed sheets and typed emails leave plenty of room for misreading. Is that a left-hand or right-hand door? A misread order becomes a costly return for both supplier and contractor.
We replaced free text with defined choices wherever possible, so a specification reads the same way for every customer and staff member.
Orders landing in one general inbox get overlooked during busy building seasons. Customers then call to ask whether an order has arrived, adding yet more work for the counter staff.
We routed each submission to the assigned staff and sent an automatic confirmation, so customers know right away their order arrived.
| Feature | Description |
|---|---|
| Contractors and trade customers | |
| 1. Product Order Forms | Each product type has a form with the fields that apply to it, instead of one generic sheet. |
| 2. Specification Fields | Customers enter size, handing, jamb, material and finish in a consistent format. |
| 3. Conditional Options | Fields appear or hide based on earlier selections, which keeps long forms manageable. |
| 4. Required Field Checks | The form flags missing values before submission, which prevents incomplete orders. |
| 5. Job and Delivery Details | Customers record the job reference and where the order should go, so delivery instructions arrive with the order. |
| 6. Mobile-Friendly Forms | A contractor can place an order from a phone while standing in the opening being measured. |
| 7. Submission Confirmation | Customers get a confirmation email, which removes the need for a call to check. |
| The client's staff | |
| 8. Order Routing | Completed forms go to assigned staff, so orders don't wait in a shared inbox. |
| 9. Readable Order Summary | Each order arrives in the same layout, which makes review faster and mistakes easier to spot. |
| 10. Form Field Updates | Options can be changed as the product line changes, which keeps the forms accurate. |
Each layer has one job.
The client has online order forms that request the same complete set of details for each order, in the same layout.
| Area | Before | After |

| Capturing specifications | Details varied from one customer to the next | Defined fields for each product type |
| Missing information | Found only after the order was received | Required fields checked before submission |
| Order handling | Orders arriving by different routes and layouts | Routed submissions in one consistent format |
| Customer reassurance | Customers phoned to ask if an order arrived | Automatic email confirmation |
Good software follows a process. Here are the six stages, and what happens in each one.
Goal: Define the product vision, target audience and core business requirements.
Key activitiesGoal: Create an intuitive user experience and visual interface.
Key activitiesGoal: Build the functional application using agile sprints.
Key activitiesGoal: Harden the application against vulnerabilities and boost performance.
Key activitiesGoal: Deploy to a controlled group of real users to catch edge-case bugs and gather feedback.
Key activitiesGoal: Roll the software out to the general public.
Key activitiesStaff spend less time chasing missing dimensions and options.
Defined choices reduce misread specifications that lead to remakes or returns.
A consistent layout lets staff check each order quickly.
Contractors can place an order whenever it suits them, including from the job site.
Not every useful software project is a big one. For a building products supplier, a well-built order form can stop a wrong jamb size from turning into a remake and a delayed job. Hexagon built these forms so that orders arrive complete, consistent and with the right people. If your team still rekeys orders from emails and faxes or spends mornings calling customers back for missing details, we should talk about what a focused form project could do for you.
