CRM for Managed Service Providers: What to Set Up First

A CRM should help an MSP time its outreach and hand clean deals to service. It should not copy what your PSA already does.

A CRM for managed service providers should track who to reach, when their current contract ends, and what was promised in the sale. Your PSA should keep running tickets, time, contracts and billing. Set up the split between those two systems first, then the fit fields, then the handoff to service.

Short version: if your CRM only stores names and deal stages, you will still be guessing when to call an account. Build it around timing and fit.

Does an MSP need a CRM if it already has a PSA?

Often, yes, but they do different jobs. Kaseya describes PSA software as the place for ticketing, time tracking, contracts and billing. That is the work you do after someone becomes a client.

A CRM covers the work before that: who you want to reach, what you know about them, and what happens next. Some platforms blur the line, so check what your PSA already does before you buy anything.

We would ask one question: can your current system show every open opportunity, its next step and the prospect's contract end date on one screen? If it can, you may not need a separate CRM yet.

What should the CRM own, and what should the PSA own?

Most data problems here start with two systems owning the same record. Decide this first, and write it down.

  • The CRM owns: prospects, target accounts, outreach history, opportunities, proposals and referral sources.
  • The PSA owns: tickets, time, active agreements, device or user counts for billing, and invoices.
  • Shared through an integration: company name, main contacts, client status and contract dates.

Pick one system as the master for each shared field. If both can edit a contact's phone number with no rule, you will soon have two phone numbers and nobody will trust either one.

Which fields actually help an MSP sell?

A generic CRM asks for industry and company size. That helps, but it will not tell you when to call. We would add these fields on every target account:

  • Current IT setup: internal team, another MSP, or nobody clearly in charge.
  • Contract end date: if you know it, this is your most useful date.
  • Users or devices: a rough count, so you can size the deal and check fit.
  • Compliance needs: what the account has told you, in its own words.
  • Main applications: the systems you would have to support on day one.
  • Trigger: what made this account worth a call now, such as a new office or a security scare.

Keep the list short. Reps fill in fields they use, and skip the rest. If you need help defining who belongs on the list at all, start with an ideal customer profile your CRM can use.

How do you build a target list you can trust?

Start small and narrow. Choose one region and one or two industries you already serve well. A list of a few hundred accounts you can research beats a large list nobody reads.

Then sort by what you can actually prove. Mark where each record came from and when someone last checked it. If you buy data, check how the vendor gets it first. We cover that in the compliance checks for buying B2B contact data.

Set a cleanup rhythm too, because contacts go stale quickly. Our guide to contact data decay covers how to plan that.

Also decide what an MSP is selling to each account. Someone who needs security monitoring has a different conversation from someone who needs a help desk. If your prospects mix those up, our explainer on MSP vs MSSP is a useful piece to send them.

What rules apply to MSP outreach email?

The FTC's CAN-SPAM guide says the law makes no exception for business-to-business email. So a cold email to an office manager still has to follow it.

Build these into the CRM instead of relying on memory:

  • Opt-outs must be honored within 10 business days, and the opt-out option has to keep working for at least 30 days after you send.
  • Both the company being promoted and the company sending can be held responsible, so outsourcing the sending does not remove your duty.
  • The FTC lists penalties of up to $53,088 for each separate email in violation.

Make the opt-out flag one field that every sequence checks. This is general information, not legal advice, and other countries and states may have stricter rules.

What should the sales-to-service handoff include?

This step is where an MSP can lose the trust it just earned. The client told your rep about a risky server, and your onboarding team finds out on its own three weeks later.

Make the closed deal create a handoff record with:

  • What was promised, and what was left out of scope
  • Key contacts, and who can approve changes
  • Known problems and the systems they touch
  • Target start date, and what must happen before it

Then pass the agreement details into the PSA so billing and service start from the same facts.

Which reports show the setup is working?

Start with four, and review them monthly:

  1. Accounts with a known contract end date. How much of your target list can you time?
  2. Open opportunities with no next step. This number should be close to zero.
  3. Win rate by source. Referrals, outreach, events and partners will rarely perform the same.
  4. Time from closed deal to completed onboarding. This shows whether your handoff works.

When should you hold off on a separate CRM?

Hold off if one or two people handle all sales and most of your business comes from referrals. A disciplined PSA setup or a simple pipeline may be enough for now.

Hold off too if nobody will own the data. Fix that first, then choose the tool.

Frequently asked questions

Can an MSP use its PSA as a CRM?

Yes, if your sales process is simple and the PSA's sales features cover it. Move to a separate CRM when you need outreach tracking, stage reporting or renewal alerts that the PSA cannot give you.

What fields should an MSP CRM have that a generic CRM lacks?

Add current provider, contract end date, user or device count, main applications, compliance needs and the trigger for the conversation. Those fields decide when and how you approach an account.

Does CAN-SPAM apply to cold emails sent to other businesses?

Yes. The FTC says the law makes no exception for business-to-business email. Honor opt-outs within 10 business days and speak to your lawyer about the other rules that may apply where you sell.

How long does an MSP CRM setup take?

It depends on your data and how many systems you connect. Scope one pipeline, the fit fields and the handoff first, then add integrations once your team is using them.
