Business goals

The client takes on HR and administrative work for other employers, including personnel records and paperwork that small businesses would rather not handle themselves. That work comes in steady volumes and has to be done accurately. Errors in employee paperwork reach real people and can create compliance trouble. The client needed outside backend processing capacity so its own experts could stay focused on customers and on the decisions that need their judgment.

Project overview

Hexagon delivered backend processing and BPO services for the client. Our team took on defined administrative tasks, following the client's procedures and working in the client's own systems as directed. Work was received, completed, checked and returned through an agreed process. This gave the client added capacity for repetitive volume work, while its own staff kept ownership of customer relationships, exceptions and any decision requiring professional judgment.

Challenges faced and solved

Employee paperwork is routine until something is wrong, and then it becomes urgent.

The challenge

Volume that doesn't wait

Administrative work for many employers keeps arriving. When in-house experts spend the day on routine entry, the advice and customer service that customers actually pay for gets squeezed.

Our solution

We took on defined repetitive tasks, so the client's own staff could spend more of their time on customers and complex cases.

The challenge

Accuracy with employee records

A typing mistake in a personnel record can affect someone's employment details. Outsourced work has to meet the same standard as work done in-house, or it just creates rework.

Our solution

We followed the client's written procedures and built a checking step into the process before any completed work went back to the client.

The challenge

Protecting sensitive information

Employee records contain personal details that must be handled carefully. Any outside team has to work within strict and clear limits on who can see what.

Our solution

We worked in the systems and under the access rules the client set, with access limited to the people doing the work.

The challenge

Knowing when to escalate

Not every item is routine. A processor who guesses on an unusual case can cause far bigger problems than the short delay of asking a question.

Our solution

We set up a clear route for exceptions, so unusual items went back to the client's own staff to review and decide.

How we took it from idea to launch

Good software follows a process. Here are the six stages, and what happens in each one.

Stage 1

Discovery & Requirements

Goal: Define the product vision, target audience and core business requirements.

Key activities
  • Stakeholder interviews
  • Market and competitor research
  • Defining user personas
  • Drafting technical specifications or a Product Requirements Document (PRD)
Stage 2

Design (UX / UI)

Goal: Create an intuitive user experience and visual interface.

Key activities
  • UX design: information architecture, user flows and wireframes
  • UI design: high-fidelity mockups and interactive prototypes in Figma or similar tools
  • Design system: colors, typography and component libraries
Stage 3

Development: Frontend & Backend

Goal: Build the functional application using agile sprints.

Key activities
  • Backend: set up databases, design APIs (REST, GraphQL), implement server logic, and configure authentication and authorization (OAuth, RBAC)
  • Frontend: build responsive interfaces and connect components to backend APIs
  • Version control: manage code through Git and GitHub
Stage 4

Security & Optimization

Goal: Harden the application against vulnerabilities and boost performance.

Key activities
  • Security: address the OWASP Top 10, including injection, XSS and CSRF, enforce encryption in transit and at rest, and implement rate limiting
  • Optimization: code splitting and lazy loading, database indexing, API caching and load testing
  • QA and testing: unit, integration and end-to-end tests
Stage 5

Beta Release

Goal: Deploy to a controlled group of real users to catch edge-case bugs and gather feedback.

Key activities
  • Set up staging and production CI/CD pipelines
  • Launch a closed or open beta with real users
  • Monitor errors through observability tools
Stage 6

Public Release (Launch)

Goal: Roll the software out to the general public.

Key activities
  • Final production deployment
  • DNS configuration
  • Marketing and onboarding rollout
  • Post-launch performance and security monitoring

Business benefits

More time for customers

In-house experts spend fewer hours on routine entry.

Dependable quality

Work follows written steps and gets checked.

Added capacity without new hires

Outside support absorbs repetitive volume.

Clear accountability

Judgment calls stay with the client's own staff.

Conclusion

Companies that handle administrative work for other employers depend on getting a lot of small things right. Hexagon gave the client an outside team for backend processing, working to its procedures and within its access rules, with exceptions sent back to the client's staff. The client's experts stayed in charge of what needs their judgment, and routine work had a dependable home. If back office volume is taking your team away from your customers, let's talk about which tasks could move.
