CRM for construction companies

CRM for Construction Companies That Connects Bids, Jobs, Field Teams and Accounting

Most contractors don't lose work because they lack software. They lose it in the handoffs: a bid that never got followed up, a change order that never reached accounting, a superintendent working from last week's schedule. Hexagon builds and connects construction CRM systems that keep leads, bids, projects, field crews and financials in step. We also build and run our own construction-first CRM, Arches CRM, so we know what a contractor's day actually looks like.

Signs it's time

Is your current setup costing you jobs?

Leads and bid invitations live in inboxes and spreadsheets, so follow-ups slip and win rates are a guess.
Estimators re-key the same scope, quantities and pricing into the proposal, the CRM and the project tool.
Change orders are approved in the field but reach accounting weeks later, so margins surprise you at closeout.
Superintendents and subcontractors work from different versions of the schedule and the drawings.
Your CRM, Procore, QuickBooks or Sage don't talk to each other, so someone spends Fridays reconciling.
Owners can't see pipeline, backlog and job margin in one place without asking three people.

If two or more of these sound familiar, the problem usually isn't the people. It's the gaps between your systems.

What we build

What a construction CRM should handle

We design around how your company wins and runs work, from first contact to final invoice, and connect it to the tools your teams already use.

Lead, bid and pipeline management

Capture leads, bid invitations and referrals in one place. Track every bid by stage, estimator, due date and value, with automatic reminders so nothing goes cold. See win rates by client type, project type and estimator.

Estimating and proposal handoff

Carry scope, quantities and pricing from the estimate into the proposal and the awarded project without re-keying. Generate proposals from templates and track when the client opens them.

Project and job tracking

Turn a won bid into a project with milestones, budgets, contacts and documents attached. Give project managers one view of status, open items and risk across every job.

Field teams, subcontractors and mobile

Mobile apps and portals for superintendents, crews and subcontractors: daily logs, photos, schedules, punch lists and approvals that sync back to the office in real time.

Change orders and accounting sync

Route change orders for approval and push them to accounting automatically, so billing, cost and margin stay current. We connect to QuickBooks, Sage, Xero and ERP systems through their APIs.

Dashboards for owners and managers

Pipeline, backlog, job margin, cash position and crew utilization in one dashboard, updated automatically instead of rebuilt in a spreadsheet every month.

Three ways to start

Choose the path that fits your company

Start on Arches CRM

Our own CRM, built construction-first and running in production. We configure it to your bid stages, project types and roles, so you launch faster and with less risk than building from scratch. Your data stays yours.

Build a custom construction CRM

When your process is your competitive edge, we build a CRM around it: your workflows, your approvals, your reports, with the source code owned by you. See our custom CRM development services.

Fix and connect what you have

Already on Salesforce, HubSpot, Dynamics 365 or Zoho? We clean up the setup, automate the busywork and connect it to Procore, accounting and your field tools. See CRM rescue.

Integrations

Systems we connect your CRM to

If a system has an API, we can connect it. These are the ones construction teams ask about most.

FAQ

Construction CRM questions, answered

What is a construction CRM?

A construction CRM manages the relationship side of a contracting business: leads, bid invitations, estimates, proposals, clients, architects and subcontractors. A good one also hands awarded work to project management and accounting, so the sales pipeline, backlog and job margin stay connected.

Can you show proof that you deliver for construction companies?

Yes. Because our client work is under NDA, we publish outcomes without names on this page. On a call we walk through relevant projects in detail, show working software, including our own construction-first CRM, Arches CRM, and can arrange references where clients agree.

Do you integrate with Procore?

Yes. Procore has an open API, so we can sync projects, contacts, budgets, change orders and documents between Procore and your CRM. We scope exactly which records move in which direction during the workflow map.

Should we use Arches CRM or build a custom CRM?

If your bid-to-project process is close to how most contractors work, starting on Arches CRM is faster and lower risk because the foundation is already built and running in production. If your process is unusual or is your competitive edge, a custom build makes sense. We'll recommend one honestly in the free review.

We already use Salesforce, HubSpot or Dynamics. Do we have to switch?

No. Most of our CRM work improves and connects systems companies already own. Switching only makes sense when the current platform can't support your process at a reasonable cost.

How much does a construction CRM cost?

It depends on scope: how many workflows, users, integrations and how much data migration is involved. After the free review and scoping we give you an estimated cost and timeline before any work begins.

How long does it take?

Configuring Arches CRM or fixing an existing CRM is usually a matter of weeks. A custom construction CRM with several integrations typically takes a few months, delivered in working increments so your team uses it early.

Who owns the data and the code?

Your data is always yours. On custom builds you own the source code. On Arches CRM, Hexagon maintains the platform and your data belongs to you.
